Terms and Conditions

These Terms & Conditions set out the agreement between Kyla Thomas (“the Tutor”) and the client (“the Client”) for private tutoring services. By booking and paying for tutoring sessions, the Client agrees to these terms.
1. Services Provided
1.1. The Tutor offers online tutoring services via Google Meet in the following subjects:
GCSE Chemistry, Biology, Maths, Physics
A-Level Chemistry, Biology, Maths
University admissions preparation and guidance
1.2. The Tutor is self-employed and operates as a sole trader.
2. Lesson Fees and Payment
2.1. Rates:
GCSE: £50 per hour
A-Level: £55 per hour
Admissions support: £65 per hour
2.2. Payment Terms:
Payment is due upfront via bank transfer.
Funds must be received by the start time of each lesson.
If payment is not received in time, the Tutor reserves the right to cancel the session and may charge a percentage of the missed lesson fee in addition to the next scheduled session’s fee.
3. Cancellations and Rescheduling
3.1. The Client must provide at least 24 hours’ notice to cancel or reschedule a session.
3.2. The Tutor reserves the right to charge for cancellations made with less than 24 hours’ notice, depending on the circumstances.
3.3. If the Tutor must cancel a session, the Tutor will provide as much notice as possible and offer to reschedule or refund the session fee.
4. Scheduling and Session Format
4.1. Session times are agreed via email and conducted through Google Meet.
4.2. Lessons are booked week-by-week. Regular weekly slots may be provisionally reserved but are not guaranteed without confirmation.
5. Tutor Commitments
5.1. The Tutor will:
Prepare and deliver personalised lessons and resources.
Respond to messages promptly and set an “out of office” notification if unavailable for more than 24 hours.
Adhere to the highest safeguarding standards.
Record all sessions for safeguarding purposes. Recordings are retained for one month and then deleted.
6. Client Responsibilities
6.1. The Client agrees to:
Ensure the student attends lessons on time.
Encourage the student to complete homework or preparation as agreed.
Maintain respectful communication with the Tutor.
Provide a suitable learning environment with a stable internet connection.
6.2. Communication will be via the parent/guardian for under-18 students. A parent/guardian does not need to be present during lessons.
7. Safeguarding
7.1. The Tutor follows UK safeguarding best practices, including session recordings and secure data handling.
8. Data Protection
8.1. The Tutor processes personal data in line with the Privacy Policy, available on the Tutor’s website.
9. Termination of Services
9.1. As lessons are booked on a week-by-week basis, either party may stop lessons at any time.
9.2. Any booked sessions remain subject to the cancellation terms in section 3.
10. Disclaimers
10.1. The Tutor does not guarantee specific grades, admissions offers, or examination results.
10.2. The Tutor is not responsible for technical issues on the Client’s side that prevent or disrupt a session.
11. Limitation of Liability
11.1. The Tutor’s liability for any claim arising from services provided shall not exceed the total amount paid for the relevant tutoring session(s).
By booking and paying for tutoring sessions, the Client confirms they have read, understood, and agreed to these Terms & Conditions.
